Save the Children in Indonesia is changing for the better. We've begun to build a national organization that aims to be a strong, local, and self-sustaining voice for children in Indonesia. To this end, SC Indonesia has been designated as a “Prospect Member”. As ‘Prospect Member’ Indonesia has been identified as part of the next way of new member development, which focuses on strengthening and localizing our voice for children in strategic middle income countries. Indonesia has been authorized by member ballot to start fundraising locally as a first step towards building a financially sustainable local organization. Future work will also involve developing a strong local governance structure and building key partnerships with local government, the private sector, local civil society among others. Success of the pilot phase will set the Indonesia on a pathway to full membership. We are currently seeking to fill the following position:
 
HUMAN RESOURCES OFFICER – Jakarta
 
ROLE PURPOSE:
This position will oversee the child safeguarding policy and quality standards implementation. S/he will provide technical support and build the capacity of all staff, volunteers, partners and other stakeholders on safeguarding matters, monitor safeguarding compliance, as well as promoting and fostering a culture of learning and accountability on Child Safeguarding within Save the Children Indonesia.
 
SCOPE OF ROLE:  
Dimensions: The job holder is required to build good relationships with both SCI and Yayasan members of staff.
 
SC Indonesia makes child safeguarding its highest priority and adopts a zero tolerance approach to any harm caused by its staff and representatives. In order to deliver our commitment to children, SC Indonesia has developed policies, training and reporting mechanisms which allow us to identify and respond effectively to any risks posed to children in our work. The effective response to concerns, suspicions or allegations of abuse is a key aspect of this framework
 
Reports to: Human Resources Manager

Budget Responsibility : n/a
 
KEY AREAS OF ACCOUNTABILITY:
 
HR ORACLE Preparation / Implementation 
  • Prepare HR data and documents as required and provide support on data migration.
  • Responsible for User Assessment Testing (UAT), take note on issues to follow up with HRM.
  • Arrange HR ORACLE training session, liaise with Area HR coordinator and Team Leaders.
  • Acting as HR ORACLE System Champion.
  • Manage data input to HR ORACLE for Indonesia staff.
  • Update staff movement i.e. change of line manager, new position, other information related to employment within three (3) days after the effective date.
  • Update staff salary for all Indonesia staff (+/- 420 staff).
  • Update missing personal information on HR ORACLE and ensure all information is updated and correct.
  • Ensure all mandatory information in HR ORACLE is recorded accurately.
 
Effort Reporting (ER) Timesheets
  • Liaise with area offices / line managers of proxy users to collect the timesheet.
  • Input timesheet data from Proxy Users (by end of the month).
  • Assist HRM in ER admin process.
  • Arrange ER training session, liaise with Area HR coordinator and Team Leaders.
  • Produce ER report on weekly and monthly basis, follow up with line managers.
  • Train staff on Effort reporting (ER)
  • Liaise with area offices / line managers of proxy users to collect the timesheet.
  • Input timesheet data from Proxy Users (by end of the month).
  • Assist HRM in ER admin process.
  • Arrange ER training session, liaise with Area HR coordinator and Team Leaders.
 
Mandatory Training
  • Ensure comprehensive filing and documentation for mandatory training.
  • Set up CSP training and other mandatory trainings as required.
 
Any other duties as assigned by Supervisor
  • This shall include arranging expat formalities, permit registration, etc.

QUALIFICATIONS AND EXPERIENCE
Essential
  • Bachelor’s Degree in any major.
  • Minimum 3-5 years of experience working in Human Resources managing HR Information System, employee attendance/timesheet, and employee training.
  • Good attitude and keep all data & information confidentially 
  • Good communication skill in Bahasa Indonesia & English
  • Proven administration and record keeping ability and attention to detail
  • Ability to work with people from different backgrounds
 
Desirable
  • Having experience in conducting training would be an advantage.
  • Having experience in arranging visa/work permit for expatriates
 
Child Safeguarding:
Contribute to the overall implementation of Child Safeguarding Policy (CSP) within the response including ensuring CSP integration in all project activities including for target beneficiaries. We need to keep children safe so our selection process, which includes rigorous background checks, reflects our commitment to the protection of children from abuse.
 
General
Any other task & responsibilities given by the Supervisor and to comply with Save the Children and Yayasan Sayangi Tunas Cilik’s policies and practice with respect to child protection, code of conduct, health and safety, equal opportunities and other relevant policies and procedures.
